The Vital Ground FoundationPosition Title: Administrative and Finance Assistant
Reports To: Administration and Finance DirectorClassification: Full Time/Non-ExemptStatus: 40 hours per weekRange: $18.00/hourStarting Date: TBD
Summary/Objective: Under the supervision of the Administration and Finance Director this position provides clerical and accounting support required for maintenance of accurate records and correct processing of financial transactions; Prepares, processes and maintains donor and accounting records; Reviews documents for accuracy and completeness; Provides exceptional customer service working as first contact for visitors to Vital Ground.
Essential Functions:• Work as primary front office representation.• Assist Membership and Donor Services Coordinator:o Prepare and reconcile daily deposit of payments received by mail, in person, through the website, and through EFT and ACH transactions. Prepare bank deposits.o Accurately process donations in donor management software.o Prepare outgoing mail, donor acknowledgement letters/packets, merchandise orders and other mailings as required.• Perform a variety of accounting functions required to ensure the accurate processing of financial transactions and proper accounting for funds received and disbursed by Vital Ground.• Other duties as assigned.
Qualifications:• Proficient communications; oral and written.• Demonstrated ability to work independently.• Excellent organizational skill and attention to detail.• Proficient computer skill and in-depth knowledge of relevant software (QuickBooks, Microsoft Office, donor database).• Good organizational skills and ability to prioritize workloads.• Ability to maintain organization confidentiality.• Working knowledge of standard accounting practices.• Strong conservation ethic.• Ability to work as part of a team toward Vital Ground’s mission.
Working Conditions: This job operates in an office environment. Occasional travel required for board meetings, training and other opportunities. Long periods of sitting/standing required.
Required Experience: Two (2) years of progressively responsible experience in the appropriate area of general office function and finances, and/or customer service.
